**Summary**



The Administrative Assistant, Franchise Administrationprovides general administrative support for the SVP and other leaders in the department. The candidate prepares correspondence, reports and meeting minutes. Responds to inquiries, screens calls, schedules appointments, arranges meetings and amenities and maintains files. The candidate must be highly organized, detail oriented, customer focused and able to work in a fast-paced organization while prioritizing a heavy workload. The candidate must be able to multi-task, possess a professional demeanor and have the ability to effectively interface with executives and senior management from across the company, as well as internal and external customers.



**Responsibilities**



Responsible for providing administrative support, including managing schedules and travel arrangements.



Provide administrative support for meetings, presentations and projects.



Coordination of travel arrangements within company guidelines.



Maintenance of department files, lists, archives, etc.



Coordination of phone calls -- both incoming and outgoing.



Interaction with senior and executive management.



Assist in the creation of excel spreadsheets, Word documents and presentation materials, including PowerPoint presentations.



Responsible for assisting Franchise Administration in meeting its goals.



Ensures timely response to departmental inquiries.



Responsible for processing travel & expense reports.



Prepares certain monthly reports, including departmental budget reports.



Responsible for coordinating the tracking and payment of invoices from outside counsel.



Coordination of meetings and calendars.



General administrative functions (ordering supplies, making copies, processing monthly accruals, etc.).



Other projects as needed.

Excellent verbal and written communication skills

Self-starter with a professional, friendly demeanor



Ability to work in a fast-paced, deadline-driven environment



Strong PC skills (MS Word, Excel, PowerPoint, SharePoint)

**Complexity**



The candidate will be required to make low-risk decisions and secure decisions from supervisors on higher risk elements. At times, the candidate will be required to work autonomously but with local supervision. The impact of the work is moderate for the organization and there are no supervisory responsibilities

The role requires organization and planning, communication, attention to detail and accuracy and task-based follow through at an office based level to support the Franchise Administration Team to ensure that value of all programs/activities are fully optimized.

The Administrative Assistant will be required to demonstrate the fundamentals of the company's Count on Me! Service culture to be responsive, respectful and deliver a great experience. It is expected that all coordinators will have advanced knowledge of all MS Office tools (Word, Excel, PowerPoint, Outlook, Access (if applicable) and can format documents and reports as needed to create effective communication. This position will also access and update records in enterprise resource planning and customer relationship management tools (Salesforce.com, Oracle CRM, etc.)
